When we launched Softalon's AI booking assistant, it could do one thing exceptionally well: book appointments. Clients could message your salon on WhatsApp, Instagram, Messenger, or your booking website's live chat, and the assistant would check your real availability, walk them through the options, and confirm the booking β all inside the conversation.
But what happened when a client needed to change that appointment? They had to leave the chat, open your booking page, log in, find the appointment, and reschedule from there. Or worse β they'd message you "hey can I move my appointment to Thursday?" and the assistant couldn't help. Your team had to step in manually.
Today, that changes. The AI assistant can now reschedule and cancel appointments directly inside the chat β on every channel.
Why We Didn't Build This from Day One
This wasn't an oversight. We deliberately held back on letting the assistant modify appointments, and the reason was simple: security.
When a client messages your salon, the assistant doesn't always know with certainty who's on the other end. On channels like live chat or shared devices, someone could impersonate a client and cancel their appointment. On a busy salon's WhatsApp, a message from an unknown number claiming to be "Sarah" could refer to any number of Sarahs in your client list. Letting the assistant blindly reschedule or cancel based on a name in a chat message was a risk we weren't willing to take.
We've seen other platforms take the shortcut β match on name, assume identity, and hope for the best. That approach works until it doesn't: a cancelled appointment the client never asked to cancel, a rescheduled time they didn't agree to, an angry client who lost trust in your business. For a salon, where client relationships are everything, that kind of mistake is expensive.
So we waited until we had a solution we were confident in.
How It Works: Chat-Booked, Chat-Managed
The approach we landed on is straightforward: if a client booked the appointment through the chat, they can manage it through the chat.
Here's the logic:
-
Appointment booked via the AI assistant (on any channel β WhatsApp, Instagram, Messenger, live chat) β the assistant already knows the client's identity from the booking conversation. That client can reschedule or cancel the appointment in the same chat thread. No verification needed β the conversation itself is the proof.
-
Appointment booked outside the chat (through your booking website's self-service portal, by a team member in the calendar, over the phone) β the assistant directs the client to your booking website's self-service portal, where they can log in and manage their appointment securely.
This separation gives you the convenience of in-chat appointment management without compromising on security. Clients who booked through a conversation get the seamless experience of managing everything in the same thread. Clients who booked through other channels use the secure self-service portal that already handles identity verification.
No guesswork. No name-matching. No impersonation risk.
What Rescheduling Looks Like in the Chat
A client messages your salon β maybe on WhatsApp, maybe through Instagram DMs β and says something like:
"Hey, I need to move my appointment on Friday to next week"
The assistant looks up appointments booked through that conversation, finds the match, and responds with available time slots for the requested period β pulled from your real calendar, accounting for staff availability, buffer times, and booking rules. The client picks a new time, and the appointment is moved. Confirmation sent. Done.
If the client has multiple upcoming appointments booked through the chat, the assistant asks which one they mean. If the requested time isn't available, it suggests alternatives. The entire flow stays inside the conversation β no links to click, no pages to load, no passwords to remember.
Cancellation works the same way. The client says they need to cancel, the assistant confirms which appointment, and it's cancelled according to your salon's cancellation policy. If your policy includes a cancellation window or fee, the assistant communicates that before proceeding.
Every Channel, Same Experience
This works identically across every channel the assistant operates on:
- WhatsApp Business β reschedule or cancel in the same thread where the appointment was booked
- Instagram DMs β a client who booked through an Instagram message manages it right there
- Facebook Messenger β same flow, same capabilities
- Live chat on your booking website β works the same way
- Telegram β fully supported
And because every conversation lives in your unified inbox, your team has full visibility into every rescheduling and cancellation β regardless of which channel it happened on. If a client reschedules on WhatsApp, your team sees it. If someone cancels through Instagram, it's logged. The calendar updates automatically, and the freed-up slot becomes available for other clients immediately.
What This Means for Your Salon
The impact is practical and immediate:
Fewer interruptions for your team. The most common reason clients message after booking is to change or cancel. The assistant now handles that end-to-end, which means fewer conversations flagged for manual follow-up and fewer interruptions during your workday.
Faster turnaround on changes. When a client needs to reschedule, time matters. If they message you at 10pm and don't hear back until the next morning, that's a window where they might no-show instead of rescheduling β or just not bother rebooking at all. The assistant responds instantly, any time of day, and completes the change in seconds.
Freed-up slots get filled faster. When a cancellation happens through the assistant, the time slot opens up on your calendar immediately. If you have automated workflows set up to notify clients about last-minute availability, that slot can be filled before you even know it was empty.
Client trust stays intact. Because the system only allows modification of chat-booked appointments within the same conversation thread, there's no risk of unauthorized changes. Your clients can use the convenience without you worrying about security.
Self-Service Still Handles Everything Else
For appointments booked outside the chat β through your booking website, by your team in the calendar, or via phone β clients manage them through your booking website's self-service portal, exactly as before. They log in, see their upcoming appointments, and can reschedule or cancel according to your policies.
The AI assistant knows this boundary and handles it gracefully. If a client messages asking to reschedule an appointment that wasn't booked through the chat, the assistant explains the situation and provides a direct link to your self-service portal. No dead ends, no confusion β just a clear path forward.
Getting Started
This is live now for all salons using the AI assistant. There's nothing to configure β if your assistant is active on any messaging channel, it already supports rescheduling and cancellation for chat-booked appointments.
If you haven't set up your messaging integrations yet, now is a good time. Clients who can book, reschedule, and cancel entirely inside their favorite messaging app have one less reason to no-show and one more reason to keep coming back.

FAQ: AI Assistant Appointment Rescheduling and Cancellation
Only appointments that were originally booked through the AI assistant in a chat conversation. This includes bookings made via WhatsApp, Instagram DMs, Facebook Messenger, Telegram, or the live chat on your booking website. Appointments booked through other channels (self-service portal, team calendar, phone) are managed through the self-service portal on your booking website.
