Question 1

How do I calculate my no-show rate?

Accepted Answer

Take the number of no-shows and late cancellations in a period and divide it by the total number of appointments in the same period. 6 no-shows out of 120 appointments is a 5% no-show rate.

Question 2

How do I reduce no-shows?

Accepted Answer

Most no-shows aren't on purpose: clients forget, mix up the time, or can't reach you to cancel. Send reminders a day before and a few hours before the appointment on the channel the client actually reads, ask for a deposit for long or expensive services, and let clients cancel or reschedule online so the slot frees up for someone else.

Question 3

Should late cancellations count as no-shows?

Accepted Answer

If a cancellation comes too late for you to fill the slot, it costs you the same as a no-show, so count it in. Cancellations made in good time usually don't.

Question 4

What reduction should I expect from reminders?

Accepted Answer

It depends on your clients and how you remind them, so the calculator lets you set your own estimate. Compare your no-show rate before and after you start sending reminders to find your real number.

Question 5
