Each appointment has two kinds of notes. Pick the right one so private details stay private.

When clients add a note while booking online, it's saved as the appointment's Notes.

Members with the User role can edit notes on their own appointments. Administrators and above can edit notes on anyone's.

Add notes while booking

In the Book Appointment form, turn on Notes or Internal Notes and type your text. The switches keep the form short when you don't need them.

You can also change both kinds of notes in the Update Appointment form. Open it from the appointment's menu, or right-click the appointment on the calendar and choose Update.

To read the notes, click the appointment on the calendar. Its details show Notes and Internal Notes when they're filled in.

When clients can edit notes

Clients can change their notes through an Update link or their account until the appointment reaches a final status: Completed, No Show, Canceled or Declined. After that, only your team can change them. See Send a client a confirm, reschedule or review link.

Never put anything in Notes that the client shouldn't read. Use Internal Notes for anything private.

Common questions

No. Appointment notes belong to one visit. Notes on the client profile stay with the client across all visits.
