Every appointment gets a draft invoice when it's booked. When the client is done, you mark the appointment as Completed and Softalon offers to finalize that invoice and record the payment.
Before you start
- The appointment must be Confirmed. Only confirmed appointments can be completed.
- Members with the User role can complete their own appointments. Administrators and above can complete anyone's.

Step 1 of 3
Mark the appointment as completed
On the Appointments page, click the appointment's status badge and pick Completed. You can also click the appointment on the calendar and use its status badge, or open Update and set Status to Completed.
You will see:Status Updated appears and the Appointment Completed! dialog opens.

Step 2 of 3
Check the invoice
The dialog shows the invoice's Subtotal, any Discount, taxes, Total, Total Paid and Total Due. To open the full invoice first, click or click here to view / update the invoice. Changing invoice items depends on your plan. See Create an invoice.

Step 3 of 3
Finalize and take payment
- If the client paid in person, tick Mark as Paid and click Finalize & Mark as Paid. This records an offline payment for the full amount.
- If the client hasn't paid yet, or already paid online, leave Mark as Paid off and click Finalize Invoice.
- To handle the invoice later, click Do it Later.
You will see:Invoice Finalized appears.
Doing it later
If you closed the dialog, open the appointment's menu, go to Invoice and choose Finalize or Mark as Paid. These options disappear once the invoice is finalized or paid. You can also find the invoice under Finances βΊ Invoices.
Why finalize?
A draft invoice still follows the appointment. If you reassign or reschedule to another member, service or location before finalizing, its price updates to match. Finalizing locks it. Read Finalize an invoice for what gets locked.
Completed is a final status. Once set, you can't change the appointment's status again, so check you picked the right appointment.
Common questions
