Connecting your calendar works in two directions, and you can use either one or both:
- Add to calendar puts your Softalon appointments on one Google or Outlook calendar.
- Check for conflicts reads events from your calendars and blocks those times, so clients can't book you while you're busy.
The connection belongs to your own Softalon account, and you choose the calendars separately in each salon you work at.
Before you start
- You have a Google account or a Microsoft account with Outlook Calendar.
- Only you can turn on your own calendars. An Administrator can see which calendars are on for you and turn them off, but can't add new ones.

Step 1 of 5
Connect your calendar account
Open your account menu, go to Account › Integrations, and find Google Calendar or Outlook Calendar. Select Connect, sign in, and allow access.
You can connect more than one account, for example a work and a personal Google account.
You will see:The integration shows its connection on the Integrations page.
- 2
Step 2 of 5
Open your Calendars tab in the salon
In the salon, go to Members, open your own profile, and select Calendars.
- 3
Step 3 of 5
Choose where appointments go
In Add to calendar, pick one calendar under Select a calendar, or None to stop adding appointments.
Only future or updated appointments are added. Appointments already in the past aren't copied over.
- 4
Step 4 of 5
Choose which calendars to check for conflicts
In Check for conflicts, turn on the switch next to each calendar whose events should block your time. You can turn on up to five calendars.

Step 5 of 5
Save
Select Save.
You will see:Calendars Updated. Your calendar events start showing as blocked time on the Softalon calendar.
What gets added to your calendar
- Appointments that are Confirmed, Completed or No Show are added.
- Appointments that are Awaiting Confirmation or Awaiting Payment aren't added yet. They appear once they're confirmed.
- When an appointment is rescheduled, its event moves. When it's canceled, declined or deleted, its event is removed.
- Each event is titled with the service and the client's first name and last initial, and includes the location, notes and a link to the appointment in Softalon.
How conflict checking works
- Each event from a checked calendar becomes blocked time for you, at every location you work at.
- Clients can't book you during those events. Your team sees them on the calendar as blocked time when Show Blocked Times is on.
- In Google Calendar, events marked as free don't block your time.
- Events that Softalon added to your calendar are ignored, so your appointments never block themselves.
- Canceled and deleted events are removed from Softalon.
- Event descriptions aren't copied. Softalon only shows that a description exists, for privacy.
Sync now or reconnect
Changes usually come through on their own. If something looks out of date, open the options menu next to the connection in the Check for conflicts card:
- Sync Calendars pulls the latest events right away.
- Refresh Subscriptions renews the link that sends Softalon updates from your calendar.
- Manage Integration opens the integration in your account, where you can reconnect or disconnect it.
If something is off
The Calendars tab says No connected calendars yet
Connect Google Calendar or Outlook Calendar in Account › Integrations first. Then reload the Calendars tab.
I can't turn on calendars for another team member
Calendars can only be turned on by the person who owns them. Ask the team member to sign in and set up their own Calendars tab.
A busy event in my calendar isn't blocking booking
Check that the calendar is turned on under Check for conflicts and saved. In Google Calendar, make sure the event shows you as busy, not free. Then select Sync Calendars.
One or more connections are unhealthy
Open Account › Integrations and reconnect the calendar account. Access may have expired or been removed.
