Cancel an appointment when the visit won't happen. Mark it as a No Show when the client simply didn't turn up. Both are final statuses, so your reports and the client's history stay accurate.
Before you start
- The appointment must be Confirmed. A request that's still Awaiting Confirmation or Awaiting Payment can't be canceled. Decline it instead. See Approve or decline booking requests.
- Members with the User role can do this for their own appointments. Administrators and above can do it for anyone's.

Step 3 of 3
Save
Click Update Appointment.
You will see:Appointment Updated appears and the status shows Canceled.
For a quick cancel without a reason, click the status badge and pick Canceled. Softalon then saves the reason as Prefer Not to Say.
Mark a no-show
Click the appointment's status badge and pick No Show. You can also choose it in the Update form.
What happens next
- A canceled appointment frees its time slot right away, so the time can be booked again.
- A no-show keeps the time counted as taken, just like a completed visit.
- Neither can be changed again. To bring the client back, book a new appointment.
- Clients are only messaged if one of your automations sends a message for the change. See Automation triggers explained.
Want clients to cancel for themselves? Send them a Cancel or Manage link from Share in the appointment menu, or turn on online canceling. See Let clients cancel or reschedule online.
Cancel or delete?
Use Canceled. Delete removes the appointment for good, right away and without asking, and leaves its invoice behind. Delete only appointments that were created by mistake.
Common questions
