Most workflows start from an event in your salon. Two triggers don't: Webhook starts a workflow when another system sends a request to its URL, for example a form on your website. Manual starts it when you click Run.
Before you start
- You need the Super Administrator or Owner role.
- Your salon needs an active subscription.
- Create a workflow from scratch. See Build a workflow from scratch.
Start a workflow from a webhook
- 1
Step 1 of 4
Choose the Webhook trigger
Click the Start Workflow step. Click the Trigger field, choose Other, then Webhook.
You will see:The dialog shows a Webhook URL with a copy button.
- 2
Step 2 of 4
Protect the URL with a condition
The webhook URL is public. Anyone who has it can start the workflow, so add a Condition that only your system can meet, for example a secret header.
Use the Builder tab, or write one expression on the Expression tab, like
{{ $request.headers.authorization === "Bearer your-secret" }}. Header names are lowercase. The workflow only starts when the whole condition is true.Click Save, then Save at the top of the editor. Changes to the trigger take effect only after you save the workflow.
- 3
Step 3 of 4
Use the request data in your steps
The request is available in the Request variable group:
{{ $request.body.phoneNumber }}: a field from the request body{{ $request.query.source }}: a query parameter, from?source=...in the URL{{ $request.headers.authorization }}: a header{{ $request.method }}: the HTTP method
For example, use
{{ $request.body.emailAddress }}as the recipient of a Send Notification step. - 4
Step 4 of 4
Send a request
From your other system, send a POST request with a JSON or form body to the webhook URL.
You will see:The response has status 202 and an
executionId. It's empty when the condition wasn't met. The run appears in the workflow's History.
Webhook limits and errors
- Each webhook accepts up to 60 requests per minute and 1,000 per hour. Requests over the limit are rejected.
- If the workflow is off, the request is rejected with a message that the workflow is not active.
- If your salon's subscription isn't active, the request is rejected.
- Cookies and Softalon session headers aren't passed on to the workflow.
Start a workflow manually
- 1
Step 1 of 2
Choose the Manual trigger
Click the Start Workflow step. Click the Trigger field, choose Other, then Manual. Save the step and the workflow.
- 2
Step 2 of 2
Run it
On the Workflows page, open the menu on the workflow's card and click Run. The option only appears for workflows with the Manual trigger, and the workflow must be active.
You will see:A Workflow Started message. The run appears in History.
A manual run has no event, so only the Other variables, like your salon's name, are available. Recipients have to be fixed addresses, such as your own email.
