Working hours decide when clients can book a team member. You set them separately for each location the member works at, so Emma can work mornings in downtown Austin and afternoons at your second location.
Before you start
- The team member is assigned to at least one location in their Locations tab. Without a location, the Working Hours tab has nothing to edit.
- Team members with the User role can change only their own hours. Administrators and above can change the hours of members with the same or a lower role.
- 1
Step 1 of 5
Open the member's Working Hours tab
Go to Members, open the team member, and select Working Hours.
- 2
Step 2 of 5
Choose the location
Pick a location from the list at the top. Each location shows its weekly total, for example (40h/wk), or (Not set) if the member has no hours there yet.
- 3
Step 3 of 5
Describe the hours, or skip to the manual editor
To fill in the week quickly, type the hours in plain words in the Describe working hours... box, for example: Tue–Sat 9am–6pm with a lunch break 1–2pm, closed Sunday and Monday. Then select Apply. You can also add or drop a photo of a written schedule.
Check the result in the editor below before you save. If Softalon can't read your description, set the hours manually.
You will see:A Working hours filled in message, and the days below updated.
- 4
Step 4 of 5
Adjust each day
Below or configure manually, each day has a switch:
- Turn the switch off to mark the day Closed.
- Turn it on and choose Opens at and Closes at. Times move in 30-minute steps, and the latest closing time is midnight.
- Select Add hours (the plus button) to add a second block on the same day. Use this for split shifts or a lunch break.
- Select Copy to all days to copy one day's hours to every day of the week.
Blocks on the same day can't overlap. If they do, you'll see These hours overlap. Adjust them so they don't cross.
- 5
Step 5 of 5
Save
Select Save at the bottom of the page.
You will see:Member Working Hours Updated, and the location list shows the new weekly total.
Save stores the hours for every location in the list, not only the one you're looking at. A location that was (Not set) starts with Monday to Friday, 9:00 AM to 5:00 PM. If the member shouldn't be bookable at that location, turn its days off before you save.
What these hours do and don't do
- They're the only source of bookable time. Your salon's opening hours don't add any. See Salon opening hours vs team working hours.
- Hours are read in your salon's time zone from Settings › General.
- Clients only see a time when the whole service, plus its buffers, fits inside the hours. A 60-minute service can't start at 4:30 PM if the member finishes at 5:00 PM.
- Changing hours doesn't move or cancel existing appointments.
- For a one-off change on a single date, use a special day instead of editing the week. See Set special hours for a specific date.
If something is off
The Working Hours tab says No location assignments found
Open the member's Locations tab and assign them to a location, then come back.
The member still isn't bookable after saving
Check that the member is assigned to the service and that the service is offered at this location. See Clients can't see available times.
We couldn't read those hours
Describe the hours differently, with days and times spelled out, or set them in the manual editor.
Common questions
