Softalon shows a badge under each client's name on the Clients page, in Client Details and on the client's profile. The badge gives you a quick read on the relationship. It's calculated every time you open the page, so it updates on its own as appointments and invoices change.

How a badge is chosen

Softalon checks the rules below in order and shows the first one that matches. A client gets at most one badge.

OrderBadgeShown when
1Balance DueThe client owes money on a finalized invoice.
2New ClientThe client has no completed appointments yet.
3No-ShowerNo-shows are more than 30% of the client's completed appointments.
4OKThe client has exactly one completed appointment, and it was within the last 6 months.
5InactiveThe client's most recent completed appointment was more than 6 months ago.
6RegularThe client has 5 or more completed appointments, and the most recent one was within the last 6 months.

If none of the rules match, there's no badge.

Details that surprise people

  • Only completed appointments count as visits. Upcoming, canceled, declined and no-show appointments don't count toward OK, Regular or Inactive. Mark appointments as Completed when they're done, or the badges won't move.
  • Balance Due wins over everything. A long-time regular with one unpaid finalized invoice shows Balance Due until the invoice is paid. Draft invoices don't count.
  • The no-show ratio compares no-shows to completed appointments. A client with 10 completed appointments and 4 no-shows has a ratio of 40%, so they show No-Shower. With 3 no-shows the ratio is 30%, which isn't more than 30%, so they don't.
  • A client with no completed visit is always New Client, even if they have no-shows.
  • Clients with 2 to 4 recent completed appointments have no badge. They're past OK but not yet Regular.
  • "Within 6 months" counts back from today, using the start time of the most recent completed appointment.

Badges and blocking

Badges aren't the same as a client's status. A blocked client keeps their badge. On the Clients page, a blocked client shows a crossed-out person icon instead of a photo. See Block a client.
