Every team member has one role in each salon. The role decides what they can see and change. There are four roles, from least to most access:

  1. User: for stylists and other staff who mainly look after their own clients.
  2. Administrator: for front desk and managers who run the day across the whole team.
  3. Super Administrator: for people who also set up the salon, its services and its settings.
  4. Owner: the one person responsible for the salon. Every salon has exactly one owner.

Permissions come only from the role. You can't give someone a single extra permission. To change what someone can do, change their role. See Change a team member's role.

Permissions by role

"Own" means the member can only work with items assigned to them. The next section explains it.

What own access means

Users have own-only versions of four permissions. Softalon applies them on the server, so the limits hold everywhere, including the calendar, lists, search and reports.

  • Appointments. Users see only appointments assigned to them. They can open, edit, reschedule, extend or cancel only those. A User can still book an appointment for a colleague. That booking then gets the salon's default status for new bookings, for example Awaiting Confirmation if your salon approves bookings first. The same applies when a User reassigns or reschedules an appointment to someone else and your salon resets the status after a reschedule.
  • Invoices and payments. Users see and manage only invoices assigned to them, and the payments and refunds on those invoices.
  • Reports and dashboard. Every number a User sees is calculated from their own appointments and invoices only.
  • Members. Users can see the team on Members, but they can only edit their own profile, working hours, special days, time off, blocked time and connected calendars. They can't change their own role.

Rules every role follows

These rules come from how Softalon checks changes to the team:

  • You can only add, edit or delete members whose role is the same as yours or lower.
  • You can only give a role that is the same as yours or lower. An Administrator can make someone an Administrator but not a Super Administrator.
  • Nobody can change their own role.
  • Nobody can create a second Owner or change the Owner's role. Ownership moves only by transfer. See Transfer salon ownership.
  • You can't delete yourself. To stop being a member, leave the salon. See Leave a salon.

Display role

Each member also has an optional Display Role, such as Senior Stylist or Nail Technician. It's the friendly title clients see. It doesn't change permissions or access. If it's empty, the member's role name is shown on Members instead.

Roles across salons

Roles are set per salon. The same person can be the Owner of one salon and a User in another.

Common questions

Usually User. They see their own schedule and numbers and can work with clients, without access to other people's appointments or salon settings.
