Appointments get an invoice automatically. Create one yourself when you sell something outside an appointment, such as a retail product, a gift or a package. A new invoice is saved as a draft, so you can review it before you finalize it.

Before you start

  • Custom invoices need the Accelerate or Ultimate plan. On Starter, Create Invoice shows an upgrade message.
  • Any member with access to Finances can create one. Members with the User role can only create invoices issued by themselves.
  • Add products, tax rates and coupons first if you want to use them.
  1. 1

    Step 1 of 6

    Start a new invoice

Go to Finances › Invoices and click Create Invoice.

  2. 2

    Step 2 of 6

    Choose who and where

    In the first card:

    • Location: required. The location where the sale happened.
    • Member: the team member issuing the invoice. For the User role this is always you.
    • Client: pick a client, or choose Walk-In (No Client). You can't change the client after you create the invoice.
    • Due Date: optional. Leave it empty to use your default from Settings › Payments.
  3. 3

    Step 3 of 6

    Add items

In Items, click Add Item. In the dialog:

    1. Under Item, search for a service or product, or type a name and choose it to add a custom item.
    2. Check the Name and Description. They appear on the invoice.
    3. Choose a Tax Rate, or No Tax Rate.
    4. Set the Quantity, at least 1, and the Unit Amount.
    5. Click Add Item.

Repeat for each line. Use the menu on a line to update or delete it. An invoice needs at least one item.

  4. 4

    Step 4 of 6

    Add a coupon

Under Coupon, choose a coupon or leave No Coupon. Only active coupons can be applied. The discount applies to the whole invoice.

  5. 5

    Step 5 of 6

    Add notes

    • Notes are printed on the invoice and visible to the client.
    • Internal Notes are only visible to your team.
  6. 6

    Step 6 of 6

    Create the invoice

Check the Subtotal, Discount, tax and Total in the summary, then click Create.

    You will see:

An Invoice Created message. The invoice is saved as a draft with the status Draft.

Next steps

On Starter, you can still finalize the invoices that appointments create and take payments on them. What needs Accelerate is creating new invoices and changing the items on an existing one.
