When a client doesn't pick a team member, the booking site shows Anyone. Softalon then chooses who gets the appointment. The Member Selection Logic setting decides how.

Where to set it

Go to Settings › Booking, find the Appointment Defaults card, choose an option under Member Selection Logic, and click Save. You need the Super Administrator or Owner role.

New salons start with Round Robin.

When the logic is used

Softalon first finds every team member who can do the service at that location and is free at the chosen time. Then:

  • If only one person is free, they get the booking. The logic isn't needed.
  • If several people are free, the selection logic picks one of them.

The same logic applies when a client books through the AI assistant, and when your team books Anyone from the calendar.

Someone who isn't free at that time is never picked, whatever the logic.

The options

OptionWho gets the booking
First AvailableThe first free team member in Softalon's list. Use this when you don't mind who it is.
RandomA free team member picked at random.
Round RobinTakes turns. Softalon finds which free member has the latest-starting appointment, then gives the booking to the next member in the list. If none of the free members has a recent appointment, the first one gets it.
Least BusyThe free member with the lowest workload. Workload is booked hours divided by weekly working hours.
Cheapest ServiceThe free member who charges the least for this service.
Most Expensive ServiceThe free member who charges the most for this service.

How Round Robin counts turns

Round Robin looks at appointments that are Confirmed, Completed or Awaiting Confirmation and start from 30 days ago onward, upcoming ones included. The member whose appointment starts latest counts as the last one assigned. The next free member in the list gets the booking, and after the last member it starts again from the top.

How Least Busy measures workload

For each free member, Least Busy adds up the hours of their Confirmed and Completed appointments that start from 7 days ago onward, upcoming ones included. It divides that by the member's total weekly working hours across all their locations. The member with the lowest result gets the booking.

This means a part-time member with few bookings can be "less busy" than a full-time member with more. That's on purpose: it balances bookings against the hours each person works.

How the price options compare

Cheapest Service and Most Expensive Service compare each member's own price for the service. A member without their own price uses the service's regular price. Location-specific prices aren't part of this comparison.

To give members different prices, see Set different prices or durations per location or member.

Want clients to always pick a person? Keep the Choose Member step turned on in Settings › Appearance › Booking. Want to hide that step instead? Turn it off, and every online booking is assigned with this logic. See Change booking steps and contact fields.

You can always move an appointment to someone else afterward. See Reassign an appointment to another member.

Common questions

No. Only members who are free at that time, can do the service, and work at that location are considered.
