Send email from your own address

Connect your own SMTP server so client emails come from your business address instead of the default Softalon address.

By default, emails from your salon are sent with your salon's name and an address based on your subdomain, for example "Hair Haven" <[email protected]>. With a custom SMTP sender profile, Softalon sends your emails through your own mail server, from your own address.

Before you start

  • Your salon is on the Ultimate plan.
  • You have the Super Administrator or Owner role.
  • You have your email provider's SMTP details: host, port, username and password. Many providers require an app-specific password instead of your normal one.
  1. 1

    Step 1 of 6

    Open Sender Profiles

Go to Settings β€Ί Notifications and find the Sender Profiles card.

  2. 2

    Step 2 of 6

    Start the email setup

Next to Email (SMTP), click Setup. The Configure SMTP Server panel opens.

  3. 3

    Step 3 of 6

    Enter the server details

    Fill in:

    • Host: your provider's SMTP server, for example smtp.example.com.
    • Port: usually 587, which is the default.
    • Secure Connection (TLS): turn this on if your provider uses a TLS connection from the start, which is usually port 465. Leave it off for port 587; the connection is still upgraded to TLS before sending.
  4. 4

    Step 4 of 6

    Enter your credentials and sender

Fill in Username and Password, then From Email, the address clients will see. Optionally add a From Name, such as your business name. If you leave it empty, clients see the address only.

Make sure the From Email is an address your SMTP server is allowed to send from.

  5. 5

    Step 5 of 6

    Save

    Click Save.

    You will see:

Email Configuration Created, and the Email (SMTP) row shows Configured with your From address and Host.

  6. 6

    Step 6 of 6

    Send yourself a test

Go to Members, open the actions menu on your own row and choose Notify. Send yourself a short email and check that it arrives from your From Email.

Once your SMTP profile is set up, every salon email goes through your server. If your server rejects a message, for example because the password changed, that email isn't sent, and Softalon doesn't fall back to the default address. Keep your credentials up to date.

Change or remove the profile

  • To change settings, click Update. Your username and password stay as they are unless you turn on Update Credentials and enter both again.
  • To go back to the default sender, open the menu next to Update and choose Delete.

If your salon leaves the Ultimate plan, emails go back to the default Softalon address.

If something is off

The test email never arrives

Check the username and password. If your provider uses two-step verification, create an app password and use it here: click Update, turn on Update Credentials and enter both values. Then check the host, the port and the Secure Connection (TLS) switch. Port 465 usually needs it on, and port 587 usually needs it off.

Emails stopped arriving after I set up SMTP

Open your email provider and check for sending limits, blocked sign-ins or a changed password. Update the profile, then send yourself another test.

Validate shows an error even though my settings are right

The Validate option in the menu can report a sign-in error even when your saved credentials work. Use a test email to check your setup instead.

Common questions

No. Emails are charged at the same rate whether they go through Softalon's server or yours.
