When a client pays at the salon, record it in Softalon so the invoice shows the right balance. You can record the full amount, part of it, or more than the total when the client adds a tip.
Before you start
- The invoice must exist. Every appointment already has one.
- Members with the User role can only record payments on invoices assigned to them.
- Your Softalon subscription must be active.
Mark an invoice as paid
The fastest way when the client paid the whole balance at the salon.
- 1
Step 1 of 2
Open the invoice menu
Go to Finances › Invoices and find the invoice. It must be finalized. If it's still a draft, finalize it first.
- 2
Step 2 of 2
Mark it as paid
Open the actions menu at the end of the row, then choose Payments › Mark as Paid. You can also click Mark as Paid in the View Invoice dialog.
You will see:An Invoice Marked as Paid message. An offline payment for the remaining balance is added, and the status changes to Paid.
Record a full, partial or extra payment
- 1
Step 1 of 5
Open Create Payment
Go to Finances › Payments and click Create Payment. From an invoice, you can also open the actions menu and choose Payments › Create, which fills in the invoice for you.
- 2
Step 2 of 5
Choose the invoice
Under Invoice, pick the invoice. Drafts show as, for example,
2026-DRAFT. You can record payments on drafts, which is useful for prepayments. - 3
Step 3 of 5
Choose the payment method
Under Payment Method, choose your offline method, shown as On-site Payment unless you renamed it. Use it for cash, card terminals and anything else you take in person. The offline method is always available here, even if clients can't choose it on your booking site.
Choosing an online method doesn't record money you've received. It creates a payment link for the client instead. See Send a client a payment link.
- 4
Step 4 of 5
Set the amount
Leave Custom Amount off to record the full balance. The dialog confirms: The full balance of ... will be applied to this payment.
Turn Custom Amount on to enter a different amount. The dialog tells you what will happen:
- Less than the balance: a partial payment. The rest stays outstanding.
- Equal to the balance: the payment covers the full balance.
- More than the balance: the amount above the balance is recorded as a tip.
- 5
Step 5 of 5
Create the payment
Click Create Payment.
You will see:A Payment Created message. The payment appears in the list as Completed. If it covers the total, the invoice status changes to Paid.
How tips are counted
A tip is the part of the payments that goes above the invoice total. It stays part of the same payment. For example, if Emma Johnson's invoice is $80 and you record $95, the invoice is paid and $15 counts as a tip.
Offline payments are recorded straight away as Completed. No money moves through Softalon, so make sure you actually received it.
Common questions
Yes. Each partial payment adds to the paid amount. The invoice becomes Paid when payments cover the total.
