Finalizing turns a draft into a real invoice. Do it once the lines are correct, usually right after the appointment.
What finalizing does
- Gives the invoice the next number for the year, such as
2026-0042. - Sets the due date. If the invoice has no Due Date, it's due at the end of the day a set number of days later, in your salon's time zone. You set the number of days in Settings › Payments › Invoice Due Date.
- Creates the PDF, available from View PDF.
- Sets the status to Open, or to Paid if completed payments already cover the total.
- Makes the invoice visible to the client in their account on your booking site.
What gets locked
After finalizing, the invoice can't be changed at all: not the items, coupon, location, team member, due date or notes. It also stops following its appointment, so changing the appointment's service no longer changes the price. Check everything before you finalize.
Before you start
- The invoice needs at least one item.
- Your business details in Settings › Company should be filled in. They're printed on the PDF.
- Members with the User role can only finalize invoices assigned to them.
